Our client, a global consultancy company based in Cambridge, is looking for a Facilities Assistant to join their team. This is an operational role to ensure the smooth and efficient running of all aspects of the office space to create a safe, enjoyable and efficient environment to meet our client s needs. You will support the Facilities Manager in developing, implementing and maintaining office processes to ensure the smooth running of services, from equipment, meeting room management and archiving, to security, communications and catering. This role also provides supervision and cover for our client s in-house Caterer to ensure the delivery of their daily buffet lunch whilst maintaining excellent food hygiene. Key responsibilities will include: Monitoring, maintenance, storing and arranging repair/replacement of fixtures, fittings and office equipment Room and AV set-up for internal events Supporting reception with front of house set up/clear downs as needed Liaising with building management to report problems and expedite resolution (may very occasionally require providing out of hours access) Problem solve to manage day-to-day issues Implementing office furniture moves, to accommodate new joiners and development of the office environment Managing the allocation, upkeep and usability of project rooms, ensuring efficient turnover of resources Archive management; Maintaining the off-site document storage and on-site non-document archive; maintaining accurate systems and records Liaising with the in-house Caterer to ensure delivery of daily cold in-house buffet lunch (and other occasional basic catering requirements) Provide cover for unplanned and short absences which will include food preparation and clear down Training and supervision of temporary catering assistants when required The ideal candidate will have experience working in a varied and busy facilities role, and will have the proven ability to effectively manage a wide range of tasks & responsibilities, whilst coordinating with stakeholders. It would be advantageous for candidates to have worked in an office environment and to have experience using SOPs, alongside using and building a planned preventative maintenance (PPM) schedule. It is essential that candidates have a basic understanding of food hygiene and Health & Safety requirements, and it is desirable for candidates to be IOSH qualified and to hold a current Food Hygiene certificate. This is a physical role and so candidates must be comfortable with, and capable of, manual handling tasks including lifting, bending, loading and moving goods and furniture. Completion of current manual handling training is desirable. It is essential that candidates are computer literate (preferably confident users of Mac computers) and are proficient in the use of MS Office (Word and Excel). Candidates must have excellent communication skills (both verbal and written English) and must demonstrate a methodical and accurate approach to record keeping. Strong attention to detail is required in this role and candidates must be able to proactively identify, investigate and resolve issues within the office environment; demonstrating good organisation and ability to manage and prioritise tasks to meet deadlines. The post holder must be conscious of and take pride in their surroundings. They will be proactive, practically minded and highly motivated to keep office fixtures, supplies and information stored tidily, and in the right place. As part of the business support team, they must be well organised with a flexible approach, a good team player with a strong customer focus and will thrive in a fast-paced environment
