Arts & Events Administrator based Manchester temp until end December £12.45 -£13.71 Great opportunity to join an exciting team, if Arts and Events are your thing, this could be the ideal role for you! General: 1. Work as part of the Arts Administration Team to provide a comprehensive administrative support service for the Martin Harris Centre events, as well as key events within the School. 2. Support the recruitment of and supervise all Box Office Assistants and Stewards. 3. Handle room bookings for the spaces in the Martin Harris Centre related to events. Keep online booking systems and calendars up to date. 4. To undertake other general duties, as requested by the Martin Harris Centre Manager and/or the Arts Administration Manager commensurate with the grade of the post. 5. Attend and participate in regular team briefings. 6. Flexibility in approach to working hours is essential as this post may involve occasional weekend and evening working. 8. Provide cover for Martin Harris Centre reception where necessary. Box Office: 1. To be fully conversant with the box office system (currently Ticketsolve) 2. Maintain and update the box office system. 3. Answer enquiries with regard to event tickets/brochures and sell tickets over the telephone and through the Martin Harris Centre foyer box office. 4. Manage bookings for specialist events (e.g events for schools, or 'relaxed performances' for groups with particular needs). 5. Manage season tickets and keep track of sales on all events. 6. Liaise with online ticket agent (currently Quaytickets, based at The Lowry, Salford Quays) regarding sales, new events and reports. 7. Ensure strict control over the handlings of all financial transactions, and ensure that all "cash" handling operations are in line with University procedures. 8. Handle cheques and credit card information from ticket sales, keep comprehensive account records and liaise with School and University finance staff where appropriate. 9. Train box office assistants in the operation of the Centre's web based ticket system (Ticketsolve). 10. Support the Arts Administration Manager in the deployment and supervision of staff, ensuring that Box Office functions are carried out effectively and that the service offered is a high standard with a clear customer focus. Events: 1. Be fully conversant with all events based at the Martin Harris Centre. 2. Liaise with event organisers and performers regarding their requirements, ensuring that key colleagues at the Martin Harris Centre receive the relevant information in a timely manner (e.g technical requirements for a live performance). 3. Liaise with University staff (e.g. Estates, House Services and Car Parking) and with external service providers (e.g instrument tuners) to ensure the necessary provisions are in place for all Martin Harris Centre events. 4. Produce and distribute accurate running orders to all event stakeholders in coordination with Martin Harris Centre staff and from information collected from staff and other event partners. 5. Produce hard copy event files for the Technical Services Manager, MHC events team and box office staff for all public events, including a running order, additional event information and necessary paperwork and equipment. Marketing: 1. Collate copy and arrange the printing of event programmes through liaison with printers, performers and academic staff to ensure deadlines are met. Proofread for errors. 2. Keep the Marketing and Communications Manager, Martin Harris Centre Manager and Arts Administration Manager up to date with ticket reports across all platforms for marketing purposes. 3. To upload and monitor all formatted information in relation to events with our online ticket provider (currently Quaytickets, based at The Lowry, Salford Quays).
